What Is an Apostille?
An apostille is an official government certification that verifies the authenticity of a document so it can be legally recognized in another country.
It confirms that:
the signature on the document is genuine
the seal or stamp belongs to an official U.S. authority
the document was issued by a legitimate government office
Apostilles are used exclusively for countries that are members of the Hague Apostille Convention.
If your document is going to one of these countries, an apostille is the ONLY form of international legalization required — no consulate or embassy steps needed.
In simple terms:
An apostille tells another country,
“Yes, this document is real, and it was issued by the proper authority.”
Why Apostilles Are Required
Many countries require apostilles for:
Birth, marriage, and divorce certificates
Diplomas and transcripts
Notarized documents
Power of attorney
Court documents
Business documents
Without an apostille, your paperwork may be rejected abroad for:
Immigration
Marriage
Dual citizenship
Study abroad
Work visas
Business formation
Property transactions
Who Issues Apostilles in the United States?
In the United States, apostilles are issued by:
The Secretary of State in the state where the document was issued
The U.S. Department of State (for federal documents)
For example:
A Texas birth certificate gets a Texas apostille
An FBI background check gets a U.S. Department of State apostille
A notarized document must be apostilled in the same state where it was notarized
Apostille vs Authentication (Important Distinction)
If the country you are sending documents to is NOT part of the Hague Convention, you will need:
Authentication (Texas SOS or U.S. DOS)
Embassy or consulate legalization
For example:
Iraq, Lebanon, UAE, Qatar, Egypt, and many Middle Eastern countries require Authentication + Embassy Legalization, not an apostille

Frequently Asked Questions
How do I know whether I need an apostille or authentication?
If your destination country is part of the Hague Convention, you need an apostille. If it is not, you will need document authentication plus embassy or consulate legalization. If you’re not sure, send us the country name and a photo of your document and we’ll confirm the right path for you.
Do I need the original document or is a photocopy enough?
Most civil documents, such as birth, marriage, and divorce certificates, must be certified originals from the county or state. Some notarized documents can be apostilled from properly notarized copies. If you’re not sure, send us a photo and we’ll tell you whether your document is acceptable before you mail anything.
Can you apostille a notarized document?
Yes. Many documents, such as powers of attorney, letters, and affidavits, are notarized first and then apostilled. The notary wording, seal, and location must meet Texas requirements. We review your notarized document before processing to avoid rejections.
Can you apostille my birth or marriage certificate?
Yes, as long as it is a certified copy from the correct government office (county clerk, state vital records, or similar). Hospital birth records and older “souvenir” style certificates are usually not acceptable. We can look at a photo and tell you if you have the right version.
Can you apostille a diploma or transcript from a Texas school or university?
Yes. Many educational documents can be apostilled, but some require notarization and possibly county clerk certification first. We guide you through each step so your diploma or transcript is accepted overseas the first time.
How long does an apostille take in Texas?
Processing time depends on the service level you choose (Standard, Expedited, or Rush) and whether consulate or embassy legalization is required. In general, Texas-only apostilles are much faster than multi-step legalization for non-Hague countries. See the “Choose Your Apostille Speed” section above for typical timelines.
Can you apostille an FBI background check or federal document?
Yes. Federal documents, such as FBI background checks, require a U.S. Department of State apostille instead of a state-level apostille. We coordinate the federal processing for you and return your documents by secure mail or courier.
What if the country I’m sending documents to is not part of the Hague Convention?
Non-Hague countries (such as Iraq, Lebanon, UAE, Qatar, and others) do not use apostilles. Instead, you need document authentication plus embassy or consulate legalization. We handle the full chain for many Middle Eastern and international destinations.
Do I need to come in person, or can I mail my documents?
You do not need to come in person. Most clients use our secure mail-in service. Local clients in the Houston area may also request pickup or drop-off by arrangement.
Can you review my documents before I mail them?
Yes. You can text or email clear photos of your documents and tell us the destination country. We will review them for free, confirm whether they are acceptable, and tell you exactly what the next step should be before you spend money on shipping.
